It is important therefore for everyone to have a goo d knowledge of all the application programs of a computer. Spreadsheet, word processing and presentation software are examples of the most useful applications. This paper discuses each software, its unique features as well as the benefits it bring to students.2.0 Word processing softwareThis is a computer program whose purpose is to create, edit and print text documents. The program is the most useful of all other computer applications programs known since it enables the user to create a text document and save it on an electronic disk, display it on a screen when needed, modify its contents through use of special commands and characters from the keyboard and later print the final copy on a printer (Vermaat, 2011).2.1 basic Features of a word processing softwareDepending on the type of word processing software in use, all word processors support the following features.Ward wrap: this feature enable the text to automatically move to the next line after first line is full with text as well as adjusting text due to margin changes.Insert text: the feature enables the user to insert text anywhere within the document.Margins and page size: the feature allows the user to work with different pages sizes and margins and therefore the word processor readjusts text accordinglyCut and paste: this allows the user to remove part of a text from one place to another within the document and insert it in a new position.Find and replace: this feature directs the word processor to search for a particular phrase or replace a certain phrase with another appropriate phrase or word in all the places that the phrase appears (Lisa ,2005).Delete: the feature allows the user to easily erase lines, words, pages, characters easily.Figure1: features of word processing software (Bucki, 2005).2.2 advantages of using word processing softwareWord processing software enables the user to make changes to a document without necessarily retyping the whole document. For example if a typing mistake hap pens it is simply corrected by using the back cursor. In addition when need arises to delete a paragraph, it is easy and fast to remove without leaving any evidence (Lisa ,2005). The different features found in word processing software enables document to be prepared faster. The document can also be saved and used in future without changing its contents.3.0 Presentation softwareThis is an application program that is used to create pictures and sequences of words that help to explain about a speech or information that needs to publicly present. There are two categories of presentation software i.e. business and general multimedia software (Mistyet al.,2003). Business presentation software is easy to use and a quick learning tool. On the other hand multimedia presentation software enables the presenter to create a sophisticated presentation that has both video and audio features. Examples of common presentation software include: Microsofts PowerPoint and lotus freelance graphics.3.1Fe aturesAll presentation software has unique features that enable them to present high quality displays. These features include:Transitions make the displayed information to move in automated way slide after slide. The slide master is a feature in presentation software that enables text style setting on the first slide and the changes appears of the whole presentation. Another important feature in presentation software are the slide not that are normally located at the bottom of every slide and that can only be seen by the presenter and not by the audience on the projector. Animation is feature that influences the appearance of different elements on every slide after given time span.3.2 AdvantagesPresentation software is an easy and a quick way to arrange ideas and information. With presentation software it easy to main eye contact with the audience through the advancement of the slides with a keystroke thus eliminating use of handouts in following the content. In addition, presentati on software enables the user to easily create attractive and colourful designs through the use of the standard templates and themes. Furthermore, it is easy to modify the content of presentation software such as reordering the presentation, drag and drop slides as compared to other visual aids (Linda ,2006).4.0 Spreadsheet softwareA spreadsheet program is software meant to carry out calculations and modelling. The software is used to create and design graphs and charts, modelling and calculation of company accounts, forecasting and mail merging sources (Parik, 2010).4. 1FeaturesSpreadsheet software has five common features. This includes:Pivot tables: these tables summarize huge Amount of spreadsheet data formatted from the databases with the first raw containing headings and others containing values.
